Reporting to the Director of Student Success & Advising, the Academic Advisor and Program Manager of Research Experiences is a core OAS advising team member and supports a diverse array of undergraduate research programming. As an academic advisor, this position specializes in working with students facing academic difficulties, offering holistic support, and connecting students with University resources. This position also works closely with the Faculty Director for Undergraduate Research, facilitating a portfolio of research experiences, including the Clark Scholars, Rachleff Scholars, and FERS initiative. With these programs, there is an exciting opportunity to innovate and amplify the current practices to support a growing community of undergraduate researchers.
Note that there is significant summer programming involved in this position.

Job Description

Job Responsibilities
  • Academic Advising
    Serve as an academic advisor to Penn Engineering undergraduates; work closely with specific departments as OAS liaison (e.g., ESE & MSE). Collaborate with faculty to identify and manage students who are academically struggling. Refer students to appropriate campus resources. Monitor students who are placed on academic probation or warning. Attend weekly petitions committee meetings.
  • Clark Scholars
    Provide administrative leadership for the University of Pennsylvania's Clark Scholars Program. Responsibilities include providing advising support, coordinating pre-orientation, running monthly activities, website updates, and Clark Network communications and reporting.
  • First-year Exposure to Research in STEM (FERS)
    Provide administrative leadership for the FERS Project. Responsibilities include recruiting students, supervising student staff, monthly meetings with students, overseeing financials, and coordinating summer research experiences.
  • Rachleff Scholars
    Provide administrative leadership for the Rachleff Scholars Program. Responsibilities include recruiting and selecting students in conjunction with the Faculty Director, coordinating student registration with the SEAS registrar, providing advising and student support, coordinating summer research experiences, providing Penn Engineering, Office of Development & Alumni Relations with student updates as requested, and managing a budget. Serve as Engineering liaison to CURF to promote undergraduate research.


Qualifications
  • Bachelor's degree and two - three years of experience in higher education working with undergraduate students or an equivalent combination of education and experience. A Master's degree in higher education administration, student affairs, or a related field is strongly preferred.
  • Demonstrated experience with academic advising and knowledge of best advising practices.
  • Experience using problem-solving skills to identify and document student academic needs patterns.
  • Demonstrated understanding of the intersectional needs and concerns of diverse student populations in STEM.
  • Proficient with Google Workspace and able to adapt to new tools and technologies.
  • Demonstrated organizational and planning skills to set work priorities under the pressure of deadlines.
  • Experience with event planning and program coordination.
  • Demonstrated record of personal and professional initiative, flexibility, and careful judgment.
  • High attention to detail and confidentiality.
  • Excellent oral and written communication skills.
  • Ability to work independently and as a team member.
  • A cover letter is strongly recommended.
